How to Use the Free Australian Resume Builder, Step by Step

Reviewed by the FreeOnline.fyi team · Updated 2026-09-14

What an Australian resume actually needs to look like

We built this builder after seeing too many resumes that were clearly formatted for another market: a photo in the top corner, date of birth and marital status in the header, and US Letter pages that print with an awkward white band along the bottom. Australian hiring norms are different. Recruiters here skim dozens of applications in a sitting, so anything that reads as "not from here" costs you attention before a single achievement gets read.

Three things drive most of that first impression. No photo and no date of birth, because including them creates discrimination-risk headaches for employers and most hiring managers will simply skip past. A short, explicit line stating your work rights — citizen, permanent resident, or the visa category you hold. And true A4 output at 210×297mm, single column, reverse-chronological, text only. No tables, no text boxes, no icon rows: those are exactly the elements that confuse automated screening software.

Spelling is the quieter issue. Australian English uses "organised", "recognised", "centre", "licence" as a noun and "license" as a verb. If you are unsure about a word, the Australian Government Style Manual is the reference we check against ourselves. The builder does not auto-correct your prose — it formats it — so a quick read-through on a phone screen is still your job.

Step 1: the personal details block, the state selector and your work-rights line

Open the builder and you will see a split screen: an accordion form on the left, a sticky A4 preview on the right. Start with the personal block. You need your full name, a target job title, an email, a phone number, your suburb and your state or territory from the dropdown — ACT, NSW, NT, QLD, SA, TAS, VIC or WA. NSW is selected by default, so if you are in Perth or Hobart, change it. It appears in the header of the printed page and in the location line of each job.

Name and email are required; the email field runs a standard pattern check and will not accept a half-typed address. The phone field takes either the local 04XX XXX XXX form or the +61 international form, and it warms you if the number is blank rather than blocking you, since some job seekers prefer to leave it out of a printed copy. We would keep it in — recruiters call.

The work-rights dropdown is the field most people get wrong. You choose between Citizen, Permanent resident, Full work rights visa and Restricted hours visa. Do not guess at your own conditions: visa work limits change, and student and temporary visa holders have specific caps and conditions attached to their subclass. Check your current entitlements on the Department of Home Affairs work rights page before you type a phrase that a recruiter will take at face value.

Step 2: summary, experience and education

The professional summary is a 500-character textarea with a live counter, which is roughly three to four sentences. Whitespace-only submissions are rejected, so you cannot paste a blank block to skip it. A workable pattern: role and years, sector and setting, one concrete strength, and what you are looking for next. "Certificate III qualified aged care worker with four years in residential facilities across regional Victoria, including medication assistance and dementia care. Seeking permanent part-time night shifts in Geelong." That is specific, uses Australian spelling, and answers the recruiter's first three questions.

Experience is a repeatable group capped at four entries, which is a deliberate nudge: if you have twenty years of history, lead with the last four roles or group early ones. Each entry takes job title, employer, city and state, start month-year, and an end month-year or the Current checkbox. The tool validates that the end date does not precede the start, and it will not render an entry until you have supplied both a title and an employer, so a half-filled row never reaches your preview. Use three to five bullets per role, 220 characters each.

Write achievements, not duties. "Managed a roster of 14 casual staff across a seven-day trading week" beats "responsible for rostering". Education allows up to three entries — qualification, institution, year completed — and the year field accepts anything from 1950 up to ten years in the future, so a course you are currently finishing can still be listed. You can use the free resume builder tool itself as the checklist while you gather those details.

Step 3: skills, the page-count badge and getting your PDF

Skills is a tag input: type a skill and press Enter or a comma, up to fifteen tags. Duplicates are removed case-insensitively and empty tags are dropped, so pasting "Excel, excel, EXCEL" leaves you with one. Fifteen is generous, and we would treat it as a ceiling rather than a target — a wall of tools and soft adjectives dilutes the two or three skills the job ad actually named. Pull those exact phrases from the advertisement, including the spelling it uses.

As you type, the right-hand pane shows the real A4 page with page-break markers and a badge reading something like "fits 1 / 2 A4 pages". Watch that badge. Most Australian recruiters expect one to two pages for a standard role, and two to three for senior or academic applications; a third page is usually padding. If you tip onto a third page, the fastest fixes are dropping the oldest role and tightening bullets that run past two lines.

When the preview looks right, press Download PDF. This opens your browser's print dialog against an A4 print stylesheet — choose "Save as PDF" as the destination, set margins to Default, and turn off headers and footers so the URL and page numbers do not print onto your resume. The Copy plain text button gives you the same content stripped of formatting, which is what you want for job-board paste fields and most government e-recruitment portals.

Common mistakes, and what this tool honestly will not do

The most frequent mistake we see is treating bullets as a duty list. The second is leaving the target job title generic — "Team Member" or "Professional" — when the ad says "Warehouse Storeperson" and a recruiter is scanning for that phrase. The third is date sloppiness: gaps and overlaps in a visible month-year timeline invite questions, so if you took a year off to travel or care for family, a single line in the summary explains it better than an unexplained hole.

We also want to be straight about limits. This is a text-only, single-column builder. It will not produce a designed two-column template, a cover letter, or a portfolio-style layout — that is a feature for screening software, and a constraint if you are applying for a creative role where visual presentation is part of the assessment. There is no account, so nothing is stored on a server: your data lives in the browser tab and refreshing or closing it loses the form. Save your PDF early, and keep a plain-text copy somewhere you control.

Finally, no builder can promise that a particular applicant tracking system will parse your file flawlessly, because those systems vary and change. Before you send anything important, open the saved PDF and read it as a stranger would: check your phone number, your dates, your qualification names, and whether your referee details are current. Then check the spelling one more time.

Where this fits in your job hunt

Thirty seconds of form-filling beats an evening lost to margin-wrangling in a word processor, which is the whole reason we kept this builder account-free, watermark-free and paywall-free. If you are applying in volume, keep one master PDF for the full version and a trimmed one-pager for roles where you are one of two hundred applicants. If you want a second opinion on how your resume stacks up against the formats recruiters expect, our top-rated resume builder comparison covers the trade-offs, and the rest of the FreeOnline.fyi tools handle the small jobs around a job search — converting, formatting, calculating.

One practical routine: build the resume, download the PDF, copy the plain text, then paste the plain text into a notes app as your master content. Next time a role comes up, you start from that text instead of a blank form. It takes ten minutes the first time and about two minutes after that — which is roughly the amount of effort an Australian job application deserves before the cover letter even begins.
