Why 40 KB is a wall, not a target

A line that says "maximum 40 KB" on a passport renewal form, a government job portal, or a university admission page is not a style preference. The upload either passes the server-side check or it bounces with a generic error, and you usually only get one or two attempts before you start over from the beginning of the form.

The frustrating part is that the photo you're holding is almost always 3–8 MB straight off a phone camera. Nothing on the form tells you whether to shrink the pixels, drop the quality, or both — it just says 40 KB. What 40 KB actually buys you in pixels

Forty kilobytes is small. To understand what it costs you, think in two dials: pixel dimensions and JPEG quality. A modern phone photo is around 4000 px on the long edge and roughly 12 megapixels. If you keep it at 4000 px and just squeeze quality, the compression artefacts arrive long before the file gets to 40 KB — the picture turns blocky, skin tones go blotchy, and fine text becomes unreadable.

The trick is to lower the pixel count first, then spend your remaining kilobytes on quality. Our auto mode does this in a search: it starts at 2000 px on the longest side, finds the best quality that fits 40 KB, and if even a modest quality can't fit, it steps the dimension down through 1600, 1200, 800, 600, 400 and 200 px until the file lands under the cap at a decent quality.

In practice, a typical portrait-style photo lands somewhere in the 600–1200 px range at 40 KB and still looks perfectly acceptable on screen and in a printed form box. Photos with heavy texture — foliage, fabric patterns, dense text — will be pushed toward the smaller end, because that detail is exactly what JPEG has to spend bytes on.

If you have a hard minimum dimension on the form (many ID photo specs require a minimum height), don't leave the dimension on auto and hope. Pick the preset explicitly and accept the quality hit.

The mistakes we see most often

Re-saving the same file over and over. Every JPEG save is lossy, so compressing an already-compressed image stacks artefacts on top of artefacts. If your first attempt doesn't fit, go back to the original camera file — not the 40 KB version you just downloaded.

Uploading a PNG screenshot. Screenshots and exported PNGs are usually far larger than a JPEG of the same picture, and a form that asks for a JPEG will often reject the file type outright. Our tool converts PNG input to JPEG by default for exactly this reason, which is fine for photos but will soften crisp UI text or line art.

Cropping too aggressively to lose kilobytes. Cropping changes the framing and the aspect ratio, and ID forms are strict about head position and background. It is almost always better to lower resolution than to crop off someone's ears.

Choosing the 200 px preset when the form doesn't demand it. You gain a couple of kilobytes and lose all definition. Only go that low if a spec explicitly requires a tiny image.

Forgetting that iPhone photos may arrive as HEIC. Your phone's share sheet sometimes converts to JPEG automatically and sometimes doesn't. If a file won't open in the compressor, that's usually the reason — export or share it as JPEG from the Photos app first.

Metadata, privacy, and the orientation trap

By default we strip EXIF and GPS data from the output. That's a privacy win: phone photos routinely embed the exact coordinates where they were taken, plus device serial-number-style identifiers, and there's no reason to hand that to a job portal. Exif is a well-documented container and it travels with the file unless something removes it.

The catch is orientation. Many cameras record "this photo is rotated 90 degrees" as an EXIF tag rather than rotating the pixels themselves. When that tag is discarded, some viewers show the image sideways. Check the preview panel before you download — if it's rotated, rotate it in your phone's photo editor and export again so the rotation is baked into the pixels.

There is also a colour-profile trade-off. Stripping metadata can drop an embedded ICC profile, so a photo edited in a wide-gamut space may shift slightly in saturation. For a form photo this is irrelevant; for anything you're publishing, keep the original.

Verify before you submit

The spec readout under the preview tells you the final KB, the pixel dimensions, the format and the quality level used. Read it. Then confirm the number independently: on Windows, right-click the downloaded file and check Properties; on macOS, use Get Info; on Android or iOS, the file details in your Files app show the size. A browser can display "40 KB" rounded, and some upload forms measure in kibibytes, so aim for a small safety margin — 38 or 39 KB rather than sitting exactly on the limit.

Keep the original. Always. A 40 KB JPEG is not an archive copy, and if the form comes back asking for a higher resolution you'll want to start again from the source rather than from the squeezed version. JPEG is a lossy format by design — once detail is gone, no re-compression brings it back.

Finally, read the form's own requirements one more time before uploading. Some specify a minimum as well as a maximum, a required aspect ratio, or a plain background. Our tool solves the size problem; it can't tell you whether your photo meets a spec that only the issuing authority can define.

You can also set any value between 1 and 2000 KB in the target field; anything below 10 KB triggers a warning, because at that point quality collapses regardless of what you do.
